What is eFax® and How It Works

Sending a fax with eFax® is easy! Choose from any of the following options convenient for you.
eFax Online Account
Log onto ww2.efax.com with your eFax number and eFax pin, click send faxes and fill out the fields required or the ones you wish to use. If you wish to attach a word document, pdf, jpeg etc. click on attachments and select the files you wish to fax. If you want to just fax the document and send no cover page, just uncheck the include cover page box, then click send.
eFax Mobile App
Open the eFax mobile App, click on send faxes, enter the number you wish to send to along with filling out the fields required or the ones you wish to use. If you wish to attach a document click on attachments and select the files you wish to fax. If you want to just fax the document and send no cover page, just click on cover page option and choose off, then click send.
In the “TO” field where you normally type in the email address, enter in the fax number you wish to fax followed by @efaxsend.eu (the numbers get entered in internationally). For example if you are faxing to 02079002622, you would enter in [email protected] (note the 0 always gets dropped). If you wish to attach a document, click on attachments and select the files you wish to fax. If you want to just fax the document and send no cover page, just put in the main body of the email {nocoverpage}, then click send. PLEASE NOTE: In order to send to NGN (non- geographical) number you will need to use the email option to send. Sending to this type of numbers is more expensive and can consume your gift credit in the free trial period quicker.

To login to your eFax® online account you must enter your eFax® login and PIN into the fields provided. Your eFax® login is your eFax® number in international format and/or the email address registered in your eFax account
For example:
If you have a UK eFax® number of +44 (0)20 3147 4872, you would enter 442031474872
If you have an Irish eFax® number of +353 (0)1 656 4909, you would enter 35316564909
If you have a US eFax® number of +1 323 817 3207, you would enter 13238173207
The eFax® free trial gives you all the benefits of a full eFax® customer. You can send and receive faxes immediately via email, desktop or smartphone app – available for both iOS and Android. You can also take advantage of our full set of eFax® features: large file sharing and send files up to 3GB, digital signature, cloud storage, tagging faxes, and voice mail. eFax is more than just faxing!
To check your invoices please log into your account online, once logged in, click on ”view faxes” and on the left hand side you will be able to see a folder called Invoices. Click on this folder and you will see the list of invoices available from the moment when you sign up for the service. If you wish to have invoices sent to your email please click on update account, click the billing tab and select the option to have these sent to your email, to disable going them going to your email, simply select view billing statements online.
Absolutely, and the great news is it’s free to move your number to eFax unlike other providers who will charge you. To talk about moving your existing number over to us, give us a call on +44800 0232822 and one of our sales advisors will help you with all the details, all you need is to provide us a letter of authority giving us permission and the last invoice from your current provider, we will then do the rest for you.
Sending a large file is simple and so convenient to use when your email account restricts you from sending large attachments. With large file share you can send multiple attachments (documents, presentations, videos, audio, pictures etc.), the total size you can send is an amazing 3GB (3000MB), whereas most email accounts will only allow you to send a maximum of 20MB.
To send a large file please login into your eFax account, once logged in click on “Send Large File” down in the bottom right hand corner and fill in the required fields. In the field SENDER: type your name so the person receiving knows it’s from you, in the field TO: type the email address where you wish to send the file. Both the subject and message fields are optional for you to fill out, once completed all you need to then do is click on upload file and attach the file you wish to send.
To attach more than one file, repeat the same steps. Once your files are uploaded you are nearly done, if you wish to be notified once the person at the other end has downloaded the files you’ve sent them you can click “Notify Upon Download”, this will allow you know the person has downloaded the files at the other end. To start signing and using your electronic signature you will firstly need to login into your eFax account. Once logged in you can add the signature by uploading a picture of it through the ‘Upload’ option or by faxing it to yourself. You can open the file with the signature and crop it according to your needs and then save it. When you wish to sign a document, you simply just need to select it from your inbox and click the option ‘Sign’ at the top, then drag and drop your signature into the desired place. eFax® implement appropriate technical and organizational security measures to protect your data. Your faxes will be available to you over a secure connection. When a fax is sent to you, you’ll be notified via email that a fax is waiting, just log in your eFax account online and you can view your fax.
There are a number of differences between a physical fax machine and eFax – the main ones are, security, convenience, cost and mobility. With a conventional fax machine you are stuck to one location, have costs and overheads for paper, toner and line rental – with eFax you just pay for your subscription so you can save money and use no paper to help save the environment and also help reduce storage of paper building up. Physical fax machines are vulnerable to security hacks, whereas electronic faxing is encrypted for received faxes. Convenience and mobility allows you to send and receive faxes anywhere with an internet connection, you can send and receive via your email, online account or the eFax mobile app.
With eFax you also have a lot more great services included such as large file share option to send large attachments to customers, clients, friends or colleagues when you email service restricts you – you can send up to 3GB in size, think about sending a power point that is 20MB, your email provider probably won’t let you – using our free large file feature you can email this from us to whomever you want! eFax digital signature is also a great feature we include and provide to you within your subscription, you can upload your signature then drag and drop this to documents to fax or email back to whomever you need to send these to (saves you valuable time versus printing, signing, scanning then sending) we cut the time down for you and make your life easier – sign as you go.
You will be happy to hear the answer is yes. You can have up to 5 email addresses for each eFax® number you own, meaning you can have 5 email addresses for receiving and 5 email addresses for sending.
To update your billing information, login onto your eFax® online account, click on the Update Account tab and go to the Billing option. Once here, you just need to click on the edit button and start entering your new details.
From time to time your account might be in credit, this might be due to an overpayment you’ve made or an adjustment we’ve done for a special offer or discount on your account. If so, this amount will show on your invoice in the billing summary section under “payments” and on the right hand side you will see the amount total with a minus sign beside it, which indicates it is a credit. For example: GBP £ – 11.00.

How To Use eFax®

Receiving a fax with eFax® is easy! Choose from any of the following options convenient for you.
When a fax is sent to your number you will receive a notification in your email account to say a fax has been received. Once you open the email there will be an attachment to click on. Click on the attachment to open your fax (this will display the fax that has been sent to you).
eFax Online Account
Simply log onto www.eFax.com and sign into your account with your eFax number and eFax pin. Click on view faxes, then, click on your inbox and open the fax you wish to view by double clicking it.
eFax Mobile App
Open the eFax App on your smartphone, click on view faxes and click on the fax you wish to view. If you have not downloaded the eFax App yet, go to your App store on your smartphone and search for eFax and download. Once downloaded open the App and enter your eFax number and eFax pin.

When you send a fax your recipient will see your CSID (Caller Station Identification), by default your own eFax® number is displayed here. You can edit what your recipients see by amending it in the ‘Update Account’ section on your online account, under Preferences and Send Fax CSID. If you have multiple fax numbers you can have the CSID as your company name.
Yes, you are able to add others to both your send and receive. You can add up to 5 email addresses for each eFax® number you own. You can have 5 email addresses for receiving and 5 email addresses for sending.
To start tagging, login into your account online and click view faxes. Select the file you wish to tag. Then add the tag and save it from the right-hand panel. Once saved, you can search for the tagged file from the left-hand side panel using the search bar.
When you log in to your online account click ‘view faxes’, you will have the option to click upload a file. Click it and select the file(s) you wish to upload (PDF or TIFF).

To access your faxes you can choose from any of the following options convenient for you.

eFax® Document Management Features
Located in your eFax® online account, the Message Centre is an online mailbox that lets you access your faxes anywhere you have a connection to the internet. In eFax® Message Centre; you can store an unlimited number of documents, sign faxes with your electronic signature, share large files up to 1GB and even use searchable faxing to find faxes easily.
eFax® Electronic Signature will change the way you sign documents. You will never have to print out a document just to sign it again.
Create an electronic version of your own signature and save it in your eFax® account. Your signature will be available for use wherever, whenever. Simply receive it, sign it and resend it.
You can sign faxes from your eFax® online account or from our FREE eFax® app for iOS or Android.
With eFax® Cloud Storage you will never lose an important fax again.
Each fax you send and receive is stored in the cloud for the life of your eFax® account. Together with searchable faxing; storing, searching and archiving faxes will never be a hassle again.
Each time you receive a fax, eFax® scans your fax and identifies certain keywords. We will then index those keywords, allowing you to search for specific fax content. You don’t need to do anything to index your faxes. They are indexed automatically upon arrival and should be available for search within minutes of receipt.
The following parts of your incoming fax will be scanned and indexed:
- Fax Headers (To, From, Date, Subject, Caller ID)
- Fax Attachments (Cover Page and Body)
You can also apply custom keyword tags to your faxes for easy searching. All of these indexed keywords and custom tags are available in our FREE eFax® app too.
eFax® My Account Settings
To login to your eFax® online account you must enter your eFax® login and PIN into the fields provided. Your eFax® login is your eFax® number in international format.

To update your password, login into your eFax account online, click on ‘Update Account’ then ‘Profile’ and ‘edit’ Pin.
To update personal details, login into your eFax account online, click on ‘Update Account’ then ‘Profile’ and ‘edit’ Name, Contact.
Your billing email address is the same as your contact email address. To edit this login into your eFax account online, click on ‘Update Account’ then ‘Profile’ and ‘edit’ Contact Email address to whichever email you wish.
To edit these, login into your eFax account online, click on ‘Update Account’ then ‘Profile’ and ‘Preferences’. You can then edit Send and Receive Emil addresses.
To update your billing information login into your eFax account online, click ‘Update Account’ then ‘Billing’ and edit your Card details. Should you wish to change your billing method of payment to Direct Debit or BACS please call our customer support team.
To check your usage, login into your eFax account online, click on ‘Update Account’ then ‘Usage’. You can then either pick ‘Received Faxes’ or ‘Sent Faxes’ and click on ‘Activity Log’ to view your usage logs. Here you can customize the dates between which you would like to view your usage for. Once completed click on Go and Export which will download the file for you into either .CSV/EXCEL/WORD format
To view your faxes online, login into your eFax account online. Click on ‘View Faxes’. After this, on the left hand side you can select either “Inbox” or ‘Sent’ Faxes which will show your received and sent faxes respectively.

By default your own eFax® number is displayed here. To edit what your recipients see when you send them a fax login into your account online, once logged in click on ‘Update Account’ and under Preferences, then Send, you will see Fax CSID. Whatever you enter here is what will be displayed when they receive the fax, if you wish to not have your number displayed you could put your name or company in here.
To view your current plan and upgrade to a higher package, login into your account online, click on ‘Update Account’ and ‘Billing’. If require further information please contact our customer support team on +44-203-147-4872.
eFax® Billing
The initial faxes that you receive to your eFax® number each month are completely free based on your plan. See how many free inbound pages are included in your eFax® package: by visiting https://www.efax.co.uk/signup/pricing
In order to setup a direct debit please call our customer support directly on 0203 070 3344. Make sure to keep your direct debit details on hand when calling.

Simply provide us your VAT number by either phone or email. Once we have validated your VAT number we will then be able to exempt you from VAT charges. Please contact our customer support team who will then verify and update your VAT number for your account.
To view your invoices, login into your eFax account online. Click on ‘View Faxes’ and click on the ‘Invoices’ folder on the left hand side. If there are no invoices available here please check your Billing Statements in the ‘Update Account’ section, ‘Billing.
If you have setup your account to receive billing statements by email the invoices will go to the registered contact email address on file. By default it can only go to one email, but if your email client allows rules to be set up you can have this auto forward to others, or set up a distribution group email and registered this.
Your billing email address is the same as your contact email address. To edit this login into your eFax account online, click on ‘Update Account’ then ‘Profile’ and ‘edit’ Contact Email address to whichever email you wish.
The billing cycle on your eFax account depends on the day you start the service and 30 days from the date of signup will be your billing date. If urgent and critical to be billed on a different date we need to recreate your account on the specific date you were looking to be charged on. NOTE: Doing so will close the existing account and a new account will need to be created meaning loss of any faxes and prior invoices. Please contact our support team on 0203 070 3344 and they will look to answer any questions you might have.

Yes, absolutely this is possible to make a payment in advance. Please contact our customer support team on 0203 070 3344 or if you know our bank details you can sent a payment in advance, please be sure to reference your customer id or fax number on the payment.

To download your invoices login into your eFax account online and click on View Faxes which will bring you to the eFax Message Centre. From here you can double click on the Statements folder to view, forward, print or download your invoices available in PDF format.
You can pay by Credit Card, Direct Debit or Invoice (BACS), we suggest card payment or direct debit for your convenience to save costs on bank transfer fees. To change the payment method please contact our customer support team on 0203 070 3344.
If you chose to make the payment through BACS, our bank details will be listed on the invoice, if not and you are just looking to make a once off payment please give our support team on 0203 070 3344 who will be able to provide these for you.
